Atlantis Ocean Club Golf Course at Atlantis Paradise Island Bahamas
From the climate to natural beauty, to high-quality venues and facilities, the Caribbean is the ideal spot for association planners looking to host an event that attendees won’t forget. Besides that, hosting events in the Caribbean can boost an association’s profile and raise its visibility on local, regional and international levels.
The islands gracing the Bahamas provide a wonderful backdrop for association events, thanks in part to their beautiful beaches, cultural experiences and strong tourism infrastructure.
Precious Fortune Thompson, founder and managing principal for 4inXscape Advisors & Consulting in Pompano Beach, FL, had the privilege of producing the Caribbean Aviation Handlers Association (CAHA) Conference at the breathtaking Atlantis Paradise Island in the Bahamas. Fortune Thompson is a humanitarian and a professional working on sustainable development and community initiatives, primarily in the Bahamas.
This multi-day conference brought together top executive industry leaders from across the Caribbean and beyond for an unforgettable blend of education, networking and island-inspired celebration.
“We transformed Atlantis’s dynamic meeting spaces into immersive environments for collaboration and innovation, while the resort’s iconic ocean views and lively ambiance set the perfect tone for connection,” says Fortune Thompson. “From our high-energy welcome reception to the elegant closing dinner under the stars, every moment was designed to capture the spirit of CAHA – professional excellence wrapped in paradise.”
Fortune Thompson says the Bahamas offers a natural allure that’s impossible to resist – vibrant culture, easy accessibility and stunning backdrops that instantly elevate any event. For an association like CAHA, whose members value both professional growth and meaningful relationships, the Bahamas struck the perfect balance between business and leisure.
“Hosting an event in the Bahamas brings an incredible array of benefits. Being in the Bahamas is more than just a change of scenery – it’s a strategic experience upgrade,” Fortune Thompson says. “From a logistics standpoint, easy travel connections from major cities across North America, Canada and the Caribbean make attendance simple. This makes it easy for attendees to arrive refreshed and ready to engage – no long travel fatigue, no complicated transfers. But the real magic happens once guests arrive, the moment they step off the plane and they are greeted with the warm hospitality of the Bahamians.”
It’s no secret that the Bahamas is home to world-class resorts and venues. From the grandeur of Atlantis Paradise Island to the luxury of Baha Mar, the Bahamas offers an exceptional range of venues for every style of event.
Planners will find state-of-the-art meeting spaces, diverse dining and professional event services that rival any global destination – all surrounded by breathtaking ocean views.
“The environment naturally encourages engagement, creativity and connection. Whether participants are meeting over breakfast with an ocean view or bonding during a team excursion, the setting transforms a conference into an experience,” Fortune Thompson says. “As an event planner, I can say that Atlantis offers endless flexibility, giving planners like me the freedom to create moments that feel both purposeful and unforgettable.”
Indeed, when determining the best venue to meet CAHA’s needs, Atlantis Paradise Island stood out immediately.
“It’s more than a resort – it’s a destination within a destination,” Fortune Thompson says. “Atlantis has a really great team of professionals who make the planning experience and the consistent support worth it from start to finish.”
The property’s expansive meeting facilities, diverse dining experiences, property amenities and one-of-a-kind attractions made it an ideal fit for a conference of CAHA’s caliber.

El Conquistador Resort Puerto Rico
Puerto Rico truly offers the best of both worlds. It combines the convenience of a U.S. destination – no passport, no currency exchange, English widely spoken and no roaming charges – with the vibrant cultural identity and energy of an international location. The island is exceptionally accessible, with nonstop flights from dozens of major U.S. and global cities. Upon arrival, attendees encounter world-class infrastructure, including the Puerto Rico Convention Center, award-winning hotels and professional service teams that ensure flawless execution.
What distinguishes Puerto Rico, however, is the experience itself. Attendees may come for the meetings – but they stay for the cuisine, music and culture that define the island’s soul. Groups consistently experience higher attendance and engagement because Puerto Rico is a destination people genuinely want to visit. Whether it’s a smaller event or a large-scale international convention, Puerto Rico offers an inspiring environment where business, creativity and community come together – making every event memorable and unique.
And best yet, Puerto Rico’s meetings and events landscape is evolving with renewed energy and investment. The island recently welcomed its first Four Seasons Resort & Private Residences.
Major new developments are coming from Hilton, including planning a new dual-brand hotel that will bring together Hampton by Hilton and Homewood Suites this year. The Ritz-Carlton San Juan is preparing to reopen, while One Distrito Residences by Marriott Bonvoy will soon rise within the region’s vibrant convention district, offering apartment-type experiences for meeting and event attendees.
Simultaneously, iconic properties such as La Concha Resort, Wyndham Rio Mar Rainforest Beach & Golf Resort and Condado Vanderbilt Hotel have had transformative renovations – blending modern amenities with the timeless elegance and spirit that make each uniquely Puerto Rican.
Of course, you simply can’t go wrong with El Conquistador Resort, which recently underwent a $250 million transformation, resulting in over 100,000 sf of flexible indoor and outdoor event space, including a modern Grand Ballroom, ocean-view terraces and breakout rooms infused with natural light. The resort’s private island, accessible by a ferry ride, is another ideal spot for association gatherings. The 100-acre Palomino Island boasts the perfect setting for a once-in-a-lifetime private daytime or evening event.
Located on a 300-foot cliff overlooking the ocean, El Conquistador Resort also provides opportunities for groups of meeting attendees to experience an array of cultural experiences, such as local history tours, mixology classes and salsa lessons – all of which enhance engagement.
In addition to offering a wealth of unique cultural and natural attractions, Aruba also boasts state-of-the-art conference centers, unique landmarks and luxury resorts that are ideal venues to play “host” to associations’ meetings and events.
Located on 12 acres of beautiful beachfront property on Aruba’s world-renowned Palm Beach, Hyatt Regency Aruba Resort Spa & Casino, recently underwent a significant renovation that elevates the resort’s authentic island hospitality. In addition to a revitalized grand lobby and courtyard lounge, the resort’s renovation offers a wealth of refreshed spaces that will enhance any association gathering.
The resort’s beach area is a favorite of planners, as this stunning and versatile beachfront location provides an unparalleled natural backdrop for unforgettable events and can host up to 700 attendees.
The resort’s largest indoor event venue, the Regency Ballroom features a coastal-calm design with an elegant touch, making it ideal for grand celebrations. The space can also be divided into three separate rooms for coffee breaks or breakout sessions and can host up to 600 attendees.
For smaller gatherings, of up to 250 attendees, the resort’s Padu space is ideal for receptions and presentations. Celebrating the resort’s stunning tropical setting, the event lawn is an ideal outdoor space that is ideal for cocktail parties, dinners, luncheons or coffee breaks.
World-class accommodations, state-of-the-art meeting facilities and easy accessibility are clearly evident throughout Grand Cayman. This Caribbean destination provides the ideal location for networking and professional development and offers many opportunities for team-building. And as the “culinary capital of the Caribbean,” Grand Cayman features many award-winning restaurants, from casual to five-star, providing a wide range of options for association attendees.
The Hotel Indigo Grand Cayman provides new accommodation options for groups looking for chic and trendy spaces, featuring 282 modern rooms, 12,000 sf of event space and the island’s first rooftop bar, Pom Pom.
Several new hotels and resorts will be gracing Grand Cayman’s capital, George Town, this year. The Grand Hyatt Grand Cayman Resort & Spa will establish its first presence on the island, featuring more than 40,000 sf of meeting space.

Casa de Campo Resort & Villas
Considered to be an extremely well-connected destination in the Caribbean, the Dominican Republic offers multiple international airports, making it easy for association attendees to fly to and from association events. The tourism sector is a very significant part of the national economy, with the country frequently hosting international visitors across a broad spectrum of venues.
Located in the vibrant paradise of the Dominican Republic, Casa de Campo Resort & Villas is a destination teeming with culture, natural beauty and genuine hospitality. Featuring a wide variety of accommodations including the new Premier Luxury Suites, spacious hotel rooms and private villa homes, each accommodation comes equipped with a golf cart to explore the tropical scenery.
The resort is filled with unmatched recreational options to keep everyone entertained. Association attendees can choose a round of golf on one of three Pete Dye-designed courses, including Teeth of the Dog, the number-one course in the Caribbean. They can be immersed in relaxation at the new four-star Spa Casa de Campo. Or play a game of tennis or pickleball at the racquet center. Attendees can explore the countryside by horseback at the equestrian/polo center, or take a shot at some sporting clays at the resort’s shooting center. In addition, attendees can enjoy beautiful beaches and pools, gourmet cuisine, shopping, a full-service marina and the extraordinary Altos de Chavon artists’ village.
With a variety of activities and team-building events, such as group-only tours and clinics, donkey polo or night golf, and extensive meeting facilities, including two well-appointed conference centers, a ballroom, numerous boardrooms and outdoor spaces, as well as the Marina Riverside Center, private villas and a 5,000-seat amphitheater, Casa de Campo is the ideal choice for meetings, conferences and events of any size.
The resort’s Premier Club includes a dedicated reception with exclusive bar and lounge areas with premium beverages and a unique selection of complimentary canapés and appetizers.
Hosting an association event in Barbados means attendees can experience a unique culture shaped by both West African and British influences. The beauty of the tropical island complements the Bahamas’ modern business infrastructure, providing appealing incentives for association member recruitment, retention and engagement.
Merlyn Donatien, lead planner and CEO of Flawless Events in Hollywood, FL, recently planned an association event at the Hilton Barbados Resort’s historical Charles Fort.
This was Donatien’s first program at the Hilton Barbados Resort. It was a weeklong medical association conference that brought together approximately 100 invited international researchers and clinicians in the breast cancer field for collaboration opportunities, education and cultural immersion. The program included a five-day scientific meeting, as well as three dinners on the property.
“Designing and executing an event at the Fort elevated the experience far beyond what a standard ballroom could provide. The venue’s historic architecture, open-air layout and coastal views created a natural flow for networking and engagement,” Donatien says.
Attendees were genuinely intrigued by the setting, from the historic cannons to the panoramic ocean views. Building the event concept around the Fort’s unique structure required thoughtful planning and logistics, but it also opened the door to a more dynamic and memorable design.
Fortune Thompson’s biggest piece of advice for association meeting planners considering the Caribbean? Lean into the destination’s personality. For example, the Bahamas has a rhythm and warmth that can infuse any association event with life.
“Partner closely with local experts, vendors and resort teams – their hospitality and insight are unmatched. Their expertise will help you navigate logistics smoothly, source authentic entertainment and create experiences that feel genuine – not generic,” Fortune Thompson says. “When working across borders, early coordination is key. The smoother your logistics, the more you can focus on crafting the attendee experience.”
Plan ahead for the relaxed island pace, build in buffer time, and most importantly, incorporate authentic Bahamian elements into your programming – think Junkanoo-inspired entertainment, rake ‘n scrape bands, locally sourced cuisine or community-driven CSR experiences.
“Don’t just host your event in the Bahamas – bring the Bahamas into your event,” Fortune Thompson says. “This is to give attendees a sense of place. These touches add texture and memory to your event, creating lasting emotional impact. Encourage your attendees to slow down, savor the moment and truly connect.”
Also be sure to plan for flexibility. Weather in the islands can change quickly, so always have a Plan B for outdoor activities. The good news? With so many beautiful indoor and covered spaces, your event can be a success rain or shine – it’s all about adaptability and mindset.
When thoughtfully planned, an event in the Bahamas doesn’t just check the boxes – it transcends expectations, as the Bahamas isn’t just about choosing a beautiful backdrop – it’s about creating the space where people feel inspired, connected and recharged. It becomes an immersive journey where business meets bliss and attendees leave inspired, connected and already looking forward to the next one. | AC&F |
