When questioning which destination to take an event to next, Florida has often been the natural answer for many meeting planners. Its year-round warm weather, strong air connectivity, extensive hotel inventory, sophisticated resorts and wide range of meeting venues allow planners to create programs that serve very different objectives.

Different types of events have different requirements. A national producer conference may require a convention center capable of accommodating thousands of attendees, dozens of education sessions and a large exhibit hall. An executive leadership retreat may call for a more private environment focused on conversation and relationship-building. An incentive program may need something different altogether – a destination that makes top performers feel recognized and rewarded at a luxurious resort.

Florida continues to deliver those options while adding another important element — the destination experience itself. For today’s meeting planners, the location is no longer just the backdrop. It has become part of the program. Attendees expect more than a ballroom and a schedule of presentations. They want opportunities to connect with colleagues, enjoy memorable meals, participate in activities and experience the destination.

“Florida is a very versatile option for a wide range of meetings and events,” says Carla Wheeler, meeting broker, incentive & event planner at Meetings Made Easy in Las Vegas, NV. “One of the biggest advantages is the ease of access, with multiple major airports and strong flight availability, which makes travel logistics much more seamless for attendees. Paired with consistently warm weather and sunshine, it’s an appealing destination year-round – especially for groups coming from colder climates.”

That appeal is especially strong for organizations based in the Midwest and Northeast, where a Florida meeting often represents more than a change of scenery. It provides attendees with a break from colder weather while creating opportunities for outdoor networking, recreation and relaxation.

“To me, Florida is one of the easiest destinations to sell,” says Christine Holton, region office administrator at Bankers Life in Columbus, OH. “It gives our winners the chance to unwind and celebrate their achievements and, most importantly, we create lasting memories. You really can’t go wrong with choosing Florida.”

Holton plans Bankers Life’s annual “Summer Sales” agent incentive contest, a recognition program based on agent performance. Winners in select categories earn a trip for themselves and a guest, with Bankers Life covering airfare and accommodations.

The program reflects an important trend in incentive travel: The destination itself is part of the reward.

“We source some of the best resorts to choose from with oceanfront view rooms, suites and balconies that feel like a true escape for our group,” Holton says. “The views are important, and having exceptional amenities like a spa, pools and golf are also very important.”

For many incentive planners, those details matter because the goal is not simply to bring attendees together. It is to create an experience that communicates appreciation.

When Scale Matters

For organizations planning national conferences, annual meetings or large producer gatherings, Florida’s major markets provide the infrastructure needed to manage complex events.

Greater Miami remains a strong option for organizations with national or international audiences. Its global airport access, hospitality infrastructure and strong financial services presence make it a natural fit for insurance carriers, investment organizations and wealth management firms.

The transformed Miami Beach Convention Center provides approximately 1.4 million sf of flexible meeting space, including a 500,000-sf exhibit hall and a 60,000-sf ballroom. The facility allows planners to manage multiple event components simultaneously, from general sessions and breakout education to networking functions and exhibits.

For groups seeking a resort environment without sacrificing meeting capability, resorts such as JW Marriott Miami Turnberry Resort & Spa offer another model. The resort combines meeting facilities with amenities including golf, spa services, restaurants and recreational options that support programs where business sessions and recognition experiences are blended together.

Greater Fort Lauderdale offers another strong option for organizations looking for convenience and flexibility. The newly-expanded Broward County Convention Center with its 1.2 million sf of meeting and event space, combined with the adjacent Omni Fort Lauderdale Hotel, has strengthened the destination’s ability to host larger corporate gatherings while reducing transportation challenges. The Omni offers an additional 120,000 sf of meeting and event space, as well as 801 guestrooms, numerous dining options and other amenities. Set on the Intracoastal not far from the Port Everglades and the Fort Lauderdale-Hollywood International Airport, this venue is a safe bet for most meetings.

For incentive programs, entertainment can also become part of the experience. Not far from Fort Lauderdale is The Seminole Hard Rock Hotel & Casino Hollywood, which provides meeting space alongside restaurants, nightlife, casino and live entertainment, allowing planners to create memorable evenings without extensive off-site transportation.

Of course, Orlando remains one of Florida’s largest and most established meetings destinations. The Orange County Convention Center provides the scale required for national conferences, continuing education programs and large association events, while its extensive hotel inventory and entertainment options make it easier for planners to create complete attendee experiences.

“Florida can support programs of all sizes,” Wheeler says. “Planners can find excellent options for groups as small as 40 attendees all the way up to large-scale programs of 4,000-plus, making it an incredibly flexible and scalable destination.”

While Florida’s largest cities offer scale, many insurance and financial services organizations are increasingly selecting destinations where the experience can feel more personal.

For incentive programs and leadership meetings, the right destination can influence how attendees perceive the entire event.

Naples has become a strong example of that approach. The destination combines luxury accommodations, upscale dining, golf, waterfront experiences and a relaxed coastal atmosphere that appeals to groups looking for a more exclusive setting.

Wheeler planned an incentive and rewards program in Naples for approximately 140 attendees at The Ritz-Carlton Naples, Tiburón. The event recognized top-performing sales professionals while incorporating a half-day business meeting.

“Having such a beautiful resort and beachfront setting certainly made planning this experience much easier,” Wheeler says. “Coming off the winter season in many parts of the country, Florida proved to be an ideal destination, offering warm weather, sunshine and a refreshing change of pace for attendees.”

The program also included an off-site dinner at a newly opened rooftop restaurant and bar, creating a memorable evening centered around food, atmosphere and conversation. “The combination of the venue, ambiance and views made it the perfect backdrop for an exceptional evening,” Wheeler says.

The Palm Beaches offer another distinct meeting environment, combining a sophisticated business community with resort-style amenities. The region’s connection to wealth management firms, financial institutions and professional services organizations makes it a natural fit for many financial audiences.

The Palm Beach County Convention Center provides flexible meeting space in downtown West Palm Beach, with the connected Hilton West Palm Beach offering convenience for attendees. The ability to move easily between guestrooms, meetings and networking functions is increasingly important as planners look for ways to maximize attendee time.

Lee County, including Fort Myers, Sanibel and Captiva, takes a different approach by emphasizing the balance between productivity and relaxation.

Fort Myers and its surrounding neighborhoods offer an inspiring blend of productivity and relaxation that help organizations maximize both meeting outcomes and attendee satisfaction. The destination offers waterfront resorts, conference hotels and boutique properties, allowing planners to select venues based on the goals of their program.

Attendees can step away from the meeting room for networking events on the waterfront, eco-tours through pristine natural areas, golf outings, culinary experiences, team-building adventures, sunset cruises or visits to historic attractions. This balance encourages stronger engagement, relationship building and overall attendee satisfaction.

That balance has become increasingly important for insurance and financial services organizations, where relationship-building often extends beyond formal education sessions.

Smaller, More Intimate Options

Not every successful insurance or financial services meeting requires a major convention district. For many organizations, especially associations, regional teams and incentive programs, the ideal destination is one that creates opportunities for connection while still delivering the necessary meeting infrastructure.

South Walton, located along Florida’s Panhandle, has built its reputation around that balance.

With 26 miles of beaches, distinct communities, a strong culinary scene and a variety of outdoor activities, South Walton offers a different type of meeting experience. Rather than competing primarily on convention scale, the destination focuses on creating memorable programs where attendees can combine business objectives with relaxation, recreation and relationship-building.

Sandestin Golf & Beach Resort anchors the destination’s meeting capabilities, providing accommodations, meeting facilities, restaurants, golf, beach access and recreational opportunities that allow organizations to keep attendees engaged throughout a multi-day program.

For the Mississippi Society of CPAs, that combination has made South Walton the organization’s meeting destination for four decades.

The association recently celebrated its 40th annual convention at Sandestin Golf & Beach Resort, a relationship that began in 1986. Although the organization had planned a 2020 convention that ultimately was canceled because of the pandemic, the destination has remained a consistent fit for the group’s objectives.

Karen Moody, president & CEO of the Mississippi Society of CPAs, handles the planning of many of the organization’s events. Moody says the success of the event comes from its ability to serve multiple audiences simultaneously. “There are literally events going on simultaneously for members, spouses/guests and children every day,” she says.

The multi-day event combines continuing professional education, keynote presentations, networking, entertainment and recreational activities. Attendees can earn education credits while also having time to enjoy the destination with colleagues and family members.

“The convention starts on Wednesday with optional continuing professional education classes,” Moody says. “We also have optional classes on Thursday as well. We officially kickoff on Thursday with a welcome registration reception followed by our grand opening reception that evening.”

The schedule continues with keynotes, activities, free time and a banquet before concluding with a Sunday morning prayer breakfast.

That type of extended programming requires a destination capable of handling a wide range of needs. Attendees need meeting space, families need activities, and organizers need a resort partner that can support a complex schedule.

“Sandestin is equipped with the facilities, departments and staff to meet our needs during this whirlwind week, which is what drew us there those many years ago,” Moody says.

The destination’s ability to create experiences beyond the conference room has also contributed to attendee engagement.

The addition of Baytowne has created even more options for attendees, adding dining, entertainment and shopping opportunities that allow visitors to customize their experience.

For meeting planners, that variety can be a significant advantage. A destination that offers activities for spouses, families and attendees with different interests can improve participation and create stronger connections around the event.

South Walton also supports the growing emphasis on wellness and networking opportunities in corporate meetings.

“Our convention includes education via CPE classes and keynote speakers, networking opportunities, entertainment and outdoor sporting events,” Moody says. “South Walton has provided us with resources for our annual tournaments: golf, tennis, pickleball, deep sea fishing out of Destin Harbor and beach volleyball.”

Those activities create opportunities for informal conversations and relationship-building that may not happen during scheduled sessions. For financial and insurance organizations, that matters because professional relationships often develop outside the meeting room. A conversation during a golf outing, a shared experience on the water or a casual dinner can strengthen connections in ways that formal presentations cannot.

Another destination demonstrating Florida’s flexibility is Punta Gorda and the surrounding Charlotte Harbor region. Unlike larger convention markets, Punta Gorda has built its reputation around relationship-focused meetings, incentive programs and smaller corporate gatherings where keeping attendees connected is a priority.

The arrival of Sunseeker Resort Florida Gulf Coast, Curio Collection by Hilton, has expanded the destination’s ability to accommodate larger groups while maintaining the sense of togetherness that makes smaller destinations appealing.

That combination is exactly what attracted Bankers Life for its annual Region Summer Sales incentive trip.

Holton selected Sunseeker Resort for a program recognizing top-performing agents from her Ohio and Indiana region, along with two additional Bankers Life regions from Michigan conducting their own separate contests.

The program is designed around recognition rather than traditional meetings. Winners earn the trip based on their sales performance and can bring a guest.

The event begins with a welcome reception featuring cocktails, appetizers and recognition of the winners. After that, attendees have time to experience the resort and destination on their own. “The rest of the trip, the winners are on their own to do what they choose,” Holton says.

That flexibility reflects the changing expectations of incentive travelers. Today’s top performers want meaningful experiences, but they also value choice. Some may prefer the pool or spa, while others may want to explore dining, entertainment or outdoor activities.

Holton says the decision to select Sunseeker came after her regional director experienced the resort during another Bankers Life event and recommended it for the incentive program.

That type of firsthand recommendation highlights another important factor in destination selection: confidence that the location can deliver the experience promised to attendees.

Designing Meetings Around the Destination

Across Florida, one theme continues to emerge: successful meetings are increasingly designed around the attendee experience.

The most effective programs recognize that the destination itself can support engagement. A waterfront dinner can become a networking opportunity. An outdoor activity can strengthen relationships. A resort amenity can provide attendees with the opportunity to recharge after a full day of education or meetings.

For planners, that means selecting destinations based not only on meeting space but also on how well the location supports the purpose of the gathering. A national insurance conference may require the scale of Orlando, Miami or Fort Lauderdale. A leadership retreat may benefit from the privacy of the Florida Keys. A regional sales meeting may find the right balance in Punta Gorda, Daytona Beach or South Walton. An incentive program may be best suited to Naples, Clearwater Beach or another coastal resort destination where the setting itself communicates recognition.

The key is alignment. The destination should reinforce the reason people are gathering. Florida’s advantage is the ability to provide that alignment across a wide range of meeting objectives.

The state offers the infrastructure needed for sophisticated corporate programs, but it also provides the experiences that make those programs memorable: beaches, outdoor recreation, dining, entertainment and hospitality.

Of course, successful Florida meetings still require planning. Seasonal demand, availability and budgets all influence destination decisions. Weather contingencies should be considered, especially for programs relying heavily on outdoor events. “It’s always important to have a solid weather backup plan in place,” Wheeler says. For planners, that preparation allows them to take full advantage of Florida’s greatest asset: the ability to create experiences that continue beyond the meeting agenda.

The Florida Advantage

Insurance and financial services meetings are investments. They bring together employees, agents, advisors, executives and clients with the goal of educating, recognizing achievements and strengthening relationships. The destination plays an important role in maximizing that investment.

Florida continues to stand apart because it offers flexibility few other states can match. It can support large-scale conventions and intimate executive gatherings. It can provide structured education programs and incentive experiences built around celebration.

Ultimately, the most successful meetings are not defined only by what happens inside the meeting room. Rather, they are defined by what attendees experience when they step outside it.

“The natural setting does a lot of the work for you,” Wheeler says. “It creates a beautiful, relaxed and memorable atmosphere for attendees.” I&FMM
